The CRM4Legal Solution:
SharePoint Integration

Microsoft SharePoint gives us the ability to be flexible in our page layouts and designs to meet evolving business needs. ... SharePoint is helping us do things that we used to hire agencies for…

Microsoft SharePoint is an integrated suite of server capabilities that can improve effectiveness by providing comprehensive content management and enterprise search, accelerating shared business processes, and facilitating information-sharing across offices for better business insight. Additionally, this collaboration and content management server provides IT professionals and developers with the platform and tools they need for server administration, application extensibility, and interoperability.

The use of CRM4Legal’s recommended extranet capabilities supports law firms in four broad categories: (1) new revenue-generating opportunities, (2) faster publishing cycles and time to market, (3) enhanced staff productivity, and (4) improved client relationship management.

With SharePoint, our content managers have the tools they need to publish content online without the Web team being a bottleneck…

With workflows and other capabilities in SharePoint, PAs and practice group admins can create and publish content in a fraction of the time.

With centrally managed content and faster publishing cycles, PAs and practice group admins will be able to keep Web pages from going stale and ensure consistent messaging across the firm.

Using the SharePoint Accelerators provided, together with templates, preview feature, and workflow tools, PAs and practice group admins can create, approve, and publish content on the Web without any help from the IT team. The result: the firm will cut the time it takes to update Web pages, allowing the firm to launch promotions with significantly less lead time. What’s more, practice group admins can schedule Web updates for future publication so that time-sensitive marketing offers get posted even if staff aren’t around at the time.

With SharePoint, the approval process is streamlined, so we can respond faster to what competitors are doing. If we know that a competitor is going to launch a new initiative, we can do it faster and launch it first…

International law firms can’t be limited by national borders or time zones. Clients are based everywhere and speak different languages. Staff are equally dispersed, but they must work toward a common purpose—the success of the firm. The key is to accommodate the demands of local cultures while improving efficiency and competitive advantage by sharing resources and uniting teams.

With the Web content publishing and management features of Microsoft SharePoint, the platform offers the chance to power the firms “triplenet” encompassing global Web site, an intranet, and an extranet for secure client communications.

With clients expected to spend more time online and delving deeper into the firm website more business development leads are likely. Increased registration for downloads is also facilitated – especially given the faster publishing times for reports.

By centralizing Web site management with SharePoint, the firm has the capacity to upgrade/deploy smaller (sub)sites and capture new visitors with “localized” content and images.

Support Collaboration and Information Sharing
Through the use of a centralized management platform law firm users will be able to publish content without the help of the IT department, leading to an expected reduction in the number of staff needed to support the Web site.

Beyond powering the firms public Web site, SharePoint can form the backbone of the firm’s new intranet to support collaboration and information sharing across teams and borders. Centrally managed like the public site, the move to a global collaboration platform will break down barriers between teams and make it easier for staff to locate information and work together on projects, including cross-border deals.

Staff can access the latest firm news, access HR forms, marketing assets, shared services and even online training. By using more-standardized processes and workflow tools in SharePoint, administrators can speed approvals and save time. Meanwhile, faster intranet uploads and better version control will also save time for administrators.

The third component of the firms “triplenet” is an extranet that gives clients role-based access to matters and related documents with access potentially to an online library of best practices and processes. Clients like having one place to go for updates with the ability to drill down as required for further detail.

Streamline Publishing
As online marketing programs have grown in scale and sophistication, a new generation of Web content management solutions has emerged to help law firms streamline the process for creating and publishing information on the Web. Of these solutions, Microsoft SharePoint has attracted a growing following because its familiar user interface, flexible templates, and workflow automation help users take direct control of Web content and accelerate publication of essential content such as marketing promotions and firm information. Utilising SharePoint, firms have the opportunity to realize a range of benefits from opening new revenue channels, reducing the work of IT teams, and strengthening client relationships. With SharePoint, law firms can gain a competitive edge with more agile and focused Web marketing programs while controlling costs with a highly efficient collaboration and workflow infrastructure.
